Documents before quotation

  • Drawing or process description

    Identify the smallest feature or defect, field of view, working distance, part orientations that must pass, and whether the task is 2D contrast classification or a 3D height measurement. A published pixel count or profile-resolution table is a sensor envelope, not proof that your surface, coating or occlusion will be detected. Name whether lighting, fixtures, trigger hardware and the reject path belong in the priced station or remain buyer-owned.

  • Operating conditions

    State conveyor speed, the time available to acquire one image or one profile, three-phase or 24 VDC supply, PLC interface language, compressed air demand for the reject gate, and the floor footprint of the enclosure. Throughput must be described as inspected parts per hour under named lighting and motion, not camera frame rate alone. FAT and SAT criteria should use the same labeled defect library you will later run.

Buyer and supplier responsibilities stay split: you own parts, defect labels, destination and utility drops; the equipment maker confirms optical method and handshake for that duty; this desk coordinates quote comparison, not plant operation.

Electrical Record voltage, frequency and whether the controller needs 24 VDC plus a separate three-phase feeder for lighting or actuators. A leaflet wattage figure is a connected-load hint, not proof that your cabinet and grounding method are already sized.
Utilities Compressed air for reject cylinders, extraction if powder or oil mist coats the lens, and whether cooling water is required for a sealed enclosure. Water cooling is uncommon on small 2D stations and should not be assumed.
Controls Name the PLC interface, encoder or trigger pulse, reject confirmation sensor and any upstream/downstream start-stop handshake. A USB image dump is not a validated recipe after a changeover to a second part family.

Compare procurement cost boundaries for a machine vision system

Machine

Camera or 3D profiler, lens, lighting, controller, software licence and standard tooling for the named field of view. Optional fixtures, enclosures and reject hardware belong on a separate line so they cannot hide inside a lump sum.

Delivery

Crate, fumigation if required, Incoterms, inland haul to the US destination and whether a technician travels with the crate. Freight and duties are part of total cost of procurement, not a discount story.

Site

Rigging, electrical connection, encoder wiring, recipe training and commissioning hours. Anchoring, guarding or extra steel remain buyer-owned unless a supplier quotes them in writing.

Which procurement scope is covered by machine vision system?

Does the defect require 2D contrast or a 3D height measurement?
Material entering the machine
Describe the incoming part: surface finish, color variation, transparent or specular areas, and which orientations will appear. A glossy metal can fail a 2D contrast rule that works on a printed label, while a dent may need a 3D height map that a grayscale camera cannot invent.
Required output
State pass, fail and maybe classes, plus how false rejects and missed defects will be counted on a held-out sample set. Throughput is inspected parts per hour at the stated conveyor speed, not a theoretical cycle time from a datasheet.
Duty cycle
Record whether the station must keep tracking during line acceleration, how many shifts it runs, and whether a second part family must reuse the first lighting recipe after changeover.
Which responsibilities remain with the equipment supplier and buyer?

The buyer supplies labeled good and defect samples, quantity, destination and acceptance language. The equipment supplier confirms optical method, lighting, trigger and reject path for that motion, and what the FAT sample will prove.
